Self‑Exclusion Policy

1. Purpose

This Self‑Exclusion Policy sets out how Royal Trinity Hospice supports individuals who wish to stop participating in our society raffle, in line with our commitment to responsible gambling and the Gambling Commission’s Licence Conditions and Codes of Practice (LCCP).

The policy ensures that anyone who requests self‑exclusion is prevented, as far as reasonably practicable, from participating in our raffle and from receiving gambling‑related marketing.

2. Scope

This policy applies to:

  • All participants in Royal Trinity Hospice’s raffle
  • All raffle products, including online, postal, telephone and in‑person entries
  • All staff, volunteers and third parties involved in the administration or promotion of the raffle
3. What is Self‑Exclusion?

Self‑exclusion is a voluntary process whereby an individual asks to be excluded from participating in gambling activities operated by an organisation for a minimum period of time.

For our raffles, this means:

  • No purchase of raffle tickets
  • No entry into prize draws
  • No receipt of gambling‑related marketing or promotional communications

Self‑exclusion is intended to support individuals who feel their gambling may be causing harm or who wish to take a break from gambling.

4. How to Request Self‑Exclusion

An individual may request self‑exclusion at any time by contacting Royal Trinity Hospice through one of the following methods:

  • Email: [email protected]
  • Telephone: 02077873100
  • Post: 30 Clapham Common North Side, London SW4 0RN

We may request sufficient information to identify the individual accurately, such as:

  • Full name
  • Address
  • Email address and/or telephone number

This information is required solely to ensure the effectiveness of the self‑exclusion request.

5. Self‑Exclusion Period
  • The minimum self‑exclusion period is six months.
  • Individuals may request a longer period, including indefinite self‑exclusion.
  • Once agreed, a self‑exclusion cannot be rescinded or reduced during the stated period.

At the end of the exclusion period, participation will only be allowed following a positive action by the individual confirming they wish to re‑engage.

6. What Happens After Self‑Exclusion Is Applied

Once a self‑exclusion request has been processed, Royal Trinity Hospice will:

  • Record the individual on a secure self‑exclusion register
  • Take all reasonable steps to prevent participation in the raffle
  • Cancel or refuse any active raffle entries
  • Remove the individual from all gambling‑related marketing and promotional communications
  • Ensure third‑party raffle administrators are informed where relevant

Any remaining account balances or pre‑paid entries will be handled in accordance with our raffle terms and conditions.

7. Individual Responsibility and Limitations

While Royal Trinity Hospice will take all reasonable steps to enforce self‑exclusion, individuals acknowledge that:

  • Self‑exclusion applies only to gambling activities operated by Royal Trinity Hospice
  • It is the individual’s responsibility to avoid participating in other gambling activities elsewhere

We encourage individuals to consider extending self‑exclusion to other gambling operators where appropriate.

8. Support and Advice

Anyone requesting self‑exclusion will be encouraged to seek further help and support. Information will be provided for:

  • National Gambling Helpline – 0808 8020 133
  • BeGambleAware – https://www.begambleaware.org

These services offer free, confidential advice and support.

9. Data Protection and Confidentiality

All personal data collected in connection with self‑exclusion will be:

  • Processed in accordance with UK data protection legislation
  • Used only for the purposes of administering the self‑exclusion request
  • Kept secure and confidential

Information will only be shared internally or with authorised third parties where necessary to enforce self‑exclusion.

10. Review of Policy

This policy will be reviewed regularly and updated as necessary to reflect:

  • Changes to Gambling Commission requirements
  • Updates to the Licence Conditions and Codes of Practice
  • Best practice in responsible gambling for society lotteries
  • Changes to the Fundraising Code of Practice
